Salon Booking Procedures


A 50% non-refundable booking fee (deposit) will be required to secure and confirm your appointment. If you need to change your appointment you must give more than 24 hours notice to reschedule. Failure to do so will result in forfeiting the paid booking fee. For cancelations with more than 24 hours notice, the paid booking fee will be credited and used for future bookings. This credit expires after year of when the deposit was intially paid. By confirming your booking with Beauty by Sophie you agree to the following terms and conditions below. All salon services and products must be paid for before the booking or at the time of the booking via eftpos or cash.




Beauty Service Quotes and Invoices


A 50% non-refundable booking fee (deposit) is required within 7 days to secure your booking. The remaining balance is due 30 days before your appointment date. This booking fee is non-transferable between dates. If a booking is made less than 30 days out from the appointment date, full payment is required immediately to confirm the booking. Once your booking fee or full payment has been received you will be sent a confirmation email securing your booking. All mobile bookings require full payment prior to the appointment. Sophie's artists/team members do not take payment on the day. Beauty by Sophie does not reserve or hold dates/appointments without payment. Sophie reserves the right to cancel any booking that does not follow these terms.




Additional Charges


Any no-shows will still be charged. For mobile bookings, any travel, toll road charges, parking or ferry tickets will be covered by the client. Any additional artists required for larger bookings will incur a $50 fee per artist. A fee of $50 per artist is required for any early morning starts before 7am. A fee of $100 will be applied to a booking if we are held up waiting longer than 20 minutes to begin your service, as we will have other bookings/jobs to attend to. Please ensure all party members for your booking arrive on time. Sophie and her team do not stay and do additional touch-ups once services are completed. Should you want touch-ups, please advise Sophie when booking and she will quote you for this service. A 10% surcharge will be applied to the total sum of the booking on public holidays.




Changes to Confirmed Bookings


If you would like to make changes to the amount of people receiving services or services no longer required, 30 business days notice must be provided to Sophie via email. For changes with less than 30 business days notice, the client will incur a surcharge of 30% of the cost of what was quoted for them. Weddings will have a minimum booking fee of $450 (excluding travel).




Travel Costs


Beauty by Sophie is located in St Johns, Auckland. Mobile bookings will incur a travel fee to cover travel time and mileage. Beauty by Sophie will include this travel fee in your quote/booking.




Refunds of Services


No full refunds are given for any completed service. If you are not happy with any service, please discuss this with Sophie at the time of your appointment so she is able to make any changes necessary.




Cancellation Policy


To make a cancellation or to reschedule please email Sophie at contact@beautybysophie.co.nz. Beauty by Sophie requires more than 24 hours notice for any cancellation or rescheduling. Sophie is unable to reschedule appointments with less than 24 hours notice. For cancellations less than 24 hours before the appointment, notification must be made by calling Sophie on 021767425. The client understands that all deposits/booking fees and payments are non-refundable. Beauty by Sophie will have turned away other potential bookings and loss of work needs to be covered. A cancellation/rescheduling fee equal to 50% of the total booking will be applied when less than 24 hours notice has been given. Any no shows will incur a fee equivalent to 100% of the booked appointment. If Sophie is unavailable for your event, you will be advised in advance. She has a highly skilled and experienced team behind her that will provide excellent service. In the unlikely event that Sophie needs to cancel a booking a full refund will be given. Any refunds given will be paid to the client's nominated bank account less any bank/credit cards fees that Beauty by Sophie has incurred with the transaction.




Allergies


Hair and Makeup Bookings: Please advise Beauty by Sophie and their artists before your service begins if you suffer from any allergies to cosmetics. Please bring preferred makeup/skin care products to your booking if you are concerned about an allergic reaction. Purchasing Products from Beauty by Sophie's Store: Please consult with a doctor if you are unsure of any allergies to product before purchasing any from beautybysophie.co.nz. Click on the product description for a list of ingredients. When purchasing from Beauty by Sophie, you understand that Beauty by Sophie is in no way liable for any adverse reaction you may have.




Rights Reserved


I, Sophie Tabakas of Beauty by Sophie reserve the right to cancel any booking via email notification, if a booking is in breach of these terms and conditions. By making a booking with Beauty by Sophie the client engages in “Service” and agrees to be bound by the Terms and Conditions. Once you have engaged with Beauty by Sophie it is assumed you have read and agreed to the terms and conditions. These terms and conditions are non-negotiable. Prices and terms are subject to change. Beauty by Sophie reserves the right to terminate your booking for any non-compliance of terms without resolution of dispute. All pricing is in NZD and GST is not applicable. These terms apply to Beauty by Sophie and her team of artists.




Product Return & Exchange Policy


Beauty by Sophie is happy to provide a refund if you are not happy with your product, provided that the original product is returned to us unopened and unused and not damaged, in its original packaging. Please note that any postage charges will not be refunded/reimbursed. Refunds will not be provided for change of mind purchases. Where a refund is requested, this will be processed by bank deposit to a nominated bank account, less any bank/credit cards fees that Beauty by Sophie has incurred with the transaction. Refunds cannot be processed without the return of the original product. Exchanges can be requested; however postal charges will apply. For an exchange to be offered, the original product must be returned to us unopened and unused and not damaged, in its original packaging. Returns will not be accepted more than 7 days after purchase. All prices on beautybysophie.co.nz are subject to change without notice. All promotions are a limited time offer.




Opening Hours


Tuesday & Thursday - 9:00 am - 9:00 pm Wednesday & Friday: 9:00 am - 6:00 pm Saturday: 9:00 am - 4:00 pm Appointments are available on other days for special events and weddings.




Gift Vouchers


Gift vouchers cannot be exchanged for money or refunded. Vouchers are valid until the date of expirey on the voucher. Voucher must be presented at the time of the appointment. Beauty by Sophie will not replace or redeem lost or stolen gift vouchers. Please look after your voucher carefully. Beauty by Sophie's cancelation policy applies to appointments made with a gift voucher. The gift voucher will be deemed void if less than 24 hours notice is given to any changes to the booking-this includes rescheduling/cancelation or no show. To make a booking using a gift voucher contact Beauty by Sophie via email and state that you would like to use a gift voucher for your booking. Email contact@beautybysophie.co.nz




Mobile Bookings


What we need: -Access to powerpoints in a room with as much natural light as possible -A clear dining table for us to put our equipment on -Bar stool or dining chair To prepare for your Makeup and Hair appointment: Please have no makeup on as this takes away time that could be spent on applying your makeup. Ensure all old mascara and eyeliner has been wiped off. For a smooth makeup application please make sure your skin is cleansed, exfoliated and hydrated. Due to hygiene reasons we cannot apply old or used false lashes. Hair needs to be completely dry. For oily hair, please wash and dry the day of your appointment. For normal hair, washing and drying your hair the night before is fine. Parking: As we have a lot of heavy equipment to carry we ask that close parking is available for our artists. Any parking costs will be covered by the client. For hotel bookings we ask that you allow us to valet our car and charge this to the room. We will need you to provide your room number and the name of the person the room is booked under.




Covid-19 Policy


Level 1 and Level 2: Beauty by Sophie and their artists are able to operate at Level 2 and Level 1, therefore bookings may proceed and will be expected to do so. Standard cancellation policy applies if the client no longer wishes to go ahead with their booking. Level 2.5, Level 3 or Level 4: Should a Nationwide or Auckland lockdown restriction be put in place that falls on your wedding date, preventing Beauty by Sophie from performing their services, your booking will be transferrable to a new date up to 1 year out from your original date (subject to availability). Normal terms and conditions will apply to the new date. Wedding Bookings; If your new date you wish to postpone to is not available, you will instead receive a credit for the full amount you have paid, to redeem towards a single new booking (credit cannot be split between multiple bookings and excludes the cost of any services already performed e.g Bridal Trial). Please check with all of your vendors before picking a new date to postpone to, in addition to offering multiple date options. Rescheduling a postponed wedding should be a collaboration between couples and vendors. If you are not postponing and are cancelling your booking, then the standard cancellation policy will remain the same. Special Occassion Hair and Makeup Bookings: If your new date you wish to postpone to is not available, you will receive a credit for the full amount you have paid, to redeem towards a single new booking (credit cannot be split between multiple bookings). If you are not postponing and are cancelling your booking, then the standard cancellation policy will remain the same.




How to prepare for your Hair and Makeup booking

Health and Hygiene


You are legally obliged to disclose to Beauty by Sophie if you are sick, ill or contagious in any way at the time your artist will be performing a service on you, or if at anytime you have come into contact or been exposed to anyone who is / was / may be / might have been sick, ill or contagious in any way. Likewise please inform Beauty by Sophie, if you have been in contact with anyone that may have or has had a confirmed case of Covid-19 in the 2 weeks prior to your appointment, or if you have just come out of NZ government quarantine in the previous 2 weeks prior to your appointment. Beauty by Sophie reserves the right to make any final decision on whether a client is unsafe to perform services on. If the client discloses they are unwell at a reasonable amount of time prior to the appointment, a credit will be offered. If the client has not made an effort to inform Beauty by Sophie with a minimum of 5 hours prior to the appointment start time, Beauty by Sophie is not obliged to offer any credit. The only acceptable form of contact for this is email, call or text. Social media messages are not accepted form of contact.




Force Majure


A Force Majeure Event can be defined as but is not limited to epidemics/pandemics, acts of god, and government restrictions. If a Force Majeure Event prevents Beauty by Sophie from providing their services on your event date, Beauty by Sophie shall, without limiting their other rights, provide a credit of any payments made (less services already performed) to be used on an alternative date within a 12 month period of initial event date. Standard terms and conditions apply once an alternative date is confirmed. New date is subject to availability.
