Booking Procedures

A 50% non-refundable booking fee will be required to secure and confirm your appointment. 
 
By confirming your booking with Beauty by Sophie you agree to the following terms and conditions below.

All services and products must be paid for before the booking or at the time of the booking via eftpos/credit card or cash.

Question 3

Beauty Service Quotes and Invoices

Accepted Answer

A 50% non-refundable booking fee  is required within 7 days to secure your booking. The remaining balance is due 30 days before your appointment date. This booking fee is non-transferable between dates.
 
If a booking is made less than 30 days out from the appointment date, full payment is required immediately to confirm the booking. 
 
Once your booking fee or full payment has been received you will be sent a confirmation email securing your booking.
 
All bookings require full payment prior to the appointment. Sophie's artists/team members do not take payment on the day.
 
Beauty by Sophie does not reserve or hold dates/appointments without payment. 
 
Sophie reserves the right to cancel any booking that does not follow these terms.

By paying and accepting your quote/invoice you are confirming you agree to Beauty by Sophie's  booking Terms and Conditions.

Question 4

Mobile Bookings

What we need:
 
-Access to powerpoints in a room with as much natural light as possible
 
-A clear dining table or bench for us to put our equipment on
 
-Bar stool or dining chair
 
To prepare for your Makeup and Hair appointment:
 
Please have no makeup on as this takes away time that could be spent on applying your makeup. Ensure all old mascara and eyeliner has been wiped off.
 
For a smooth makeup application please make sure your skin is cleansed, exfoliated and hydrated.
 
Due to hygiene reasons we cannot apply old or used false lashes.
 
Hair needs to be completely dry. For oily hair, please wash and dry the day of your appointment. For normal hair, washing and drying your hair the night before is fine. Please blow dry your hair smooth prior to your appointment. For curly hair please pre-straighten your hair if you wish to have a smooth hair style.
 
Parking:
 
As we have a lot of heavy equipment to carry we ask that close parking is available for our artists.
 
Any parking costs will be covered by the client.

Due to the increase in traffic on Auckland roads, please take extra time into consideration when choosing your time for your appointment. Occasionally our artists are effected by unexpected traffic while travelling between jobs, we will always do our best to ensure this doesn't effect your booking. Your understanding and patience is appreciated.

Question 5

Changes to Confirmed Bookings

Client changes to bookings:

If you would like to make changes to the amount of people receiving services or services no longer required, 30 business days notice must be provided to Sophie via email. For changes with less than 30 business days notice, the client will incur a surcharge of 30% of the cost of what was quoted for them.

Changes by Beauty by Sophie:
Occasionally an artist may have an emergency or fall ill. In this instance Beauty by Sophie will do everything in their power to make sure your booking is covered, however changes to timings of your booking may be necessary.

With the increase in traffic on Auckland roads occasionally our artists arrival time may be later than expected. While we understand this has a trickle on effect in terms of effecting client's plans, sometimes these situations are out of our control. We will always do our best to ensure that you are ready on time. Please allow extra time when considering what time you are wanting to book your appointment for.

Question 6

Cancellation Policy

To make a cancellation or to reschedule please email Sophie at contact@beautybysophie.co.nz.  The client understands that all deposits/booking fees and payments are non-refundable.  Beauty by Sophie will have turned away other potential bookings and loss of work needs to be covered. It is extremely difficult for us to fill in an appointment without more than 14 days notice.Any no shows will incur a fee equivalent to 100% of the booked appointment. In the unlikely event that Sophie needs to cancel a booking a full refund will be given. Any refunds given will be at Sophie's discretion and paid to the client's nominated bank account (less any bank/credit cards fees that Beauty by Sophie has incurred with the transaction).

Question 7

Travel Costs

Beauty by Sophie is located in Mt Eden, Auckland. Mobile bookings will incur a travel fee to cover travel time and mileage. Beauty by Sophie will include this travel fee in your quote/booking.

Waiheke has a flat call out fee rate of $250 per artist due to travel time, parking costs, ferry costs.

Question 8

Additional Charges

Any no-shows will still be charged.
 
For mobile bookings, any travel, toll road charges, parking or ferry tickets will be covered by the client.
 
A fee of $50 per artist is required for any early morning starts between 5.30am and 7am. Any start or finish time that is between the hours of midnight and 5.30am will be priced at Sophie's discretion.

A fee of $100 will be applied to a booking if we are held up waiting longer than 20 minutes to begin your service, as we will have other bookings/jobs to attend to. Please ensure all party members for your  booking arrive on time.

Sophie and her team do not stay and do additional touch-ups once services are completed. Should you want touch-ups, please advise Sophie when booking and she will quote you for this service.
 
A 10% surcharge will be applied to the total sum of the booking on public holidays.

Beauty by Sophie and their team allow an hour per service per person. Should you require our team to work over our time that we have allowed we will charge extra for this and a price will be discussed at your appointment.

For long or thick hair Sophie will quote an additional fee for your hair styling at her discretion to cover the extra time of styling.

For wedding trials we allow two hours for a hair and makeup trial. Should you require extra time or you would like to trial another look this will need to be booked in with Sophie and will be charged at our normal rate.

Question 9

How to prepare for your Hair and Makeup booking

To prepare for your Makeup and Hair appointment:

Hair needs to be completely dry. For oily hair, please wash and blow dry your hair smooth the day of your appointment. For normal hair, wash and blow dry your hair smooth the night before your appointment.

When washing your hair please be sure to do a double shampoo, focussing on the scalp and rinsing all product out really well between shampoos. Condition only the ends of your hair and rinse thoroughly. Do not apply any extra product to your hair once it is clean.

If you have naturally curly hair and would like to keep your curls for your appointment, apply your usual curly hair products as per normal. If you would like a smooth hairstyle, please straighten your hair before your appointment.

Question 10

Gift Vouchers

Accepted Answer

Gift vouchers cannot be exchanged for money or refunded.
 
Vouchers are valid until the date of expirey on the voucher.
 
Voucher must be presented at the time of the appointment.
 
Beauty by Sophie will not replace or redeem lost or stolen gift vouchers. Please look after your voucher carefully.
 
Beauty by Sophie's cancelation policy applies to appointments made with a gift voucher. The gift voucher will be deemed void if less than 24 hours notice is given to any changes to the booking-this includes rescheduling/cancelation or no show.

Question 11

Refunds of Services

No full refunds are given for any completed service. If you are not happy with any service, please discuss this with Sophie or your artist at the time of your appointment so she is able to make any changes necessary.

Question 12

Product Return and Exchange Policy

Accepted Answer

Beauty by Sophie is happy to provide a refund if you are not happy with your product, provided that the original product is returned to us unopened and unused and not damaged, in its original packaging. Please note that any postage charges will not be refunded/reimbursed.
 
Refunds will not be provided for change of mind purchases.
 
Where a refund is requested, this will be processed by bank deposit to a nominated bank account, less any bank/credit cards fees that Beauty by Sophie has incurred with the transaction.
 
Refunds cannot be processed without the return of the original product.
 
Exchanges can be requested; however postal charges will apply. For an exchange to be offered, the original product must be returned to us unopened and unused and not damaged, in its original packaging.
 
Returns will not be accepted more than 7 days after purchase.
 
All prices on beautybysophie.co.nz are subject to change without notice.
 
All promotions are a limited time offer.

Question 13

Allergies

Hair and Makeup Bookings:
Please advise Beauty by Sophie and their artists before your service begins if you suffer from any allergies to cosmetics. Please bring preferred makeup/skin care products to your booking if you are concerned about an allergic reaction.
 
Purchasing Products from Beauty by Sophie's Store:
Please consult with a doctor if you are unsure of any allergies to product before purchasing any from beautybysophie.co.nz. Click on the product description for a list of ingredients. When purchasing from Beauty by Sophie, you understand that Beauty by Sophie is in no way liable for any adverse reaction you may have.

Question 14

Covid-19 Policy

Rescheduling Wedding Bookings;  If your new date you wish to postpone to is not available, you will instead receive a credit for the full amount you have paid, to redeem towards a single new booking (credit cannot be split between multiple bookings and excludes the cost of any services already performed e.g Bridal Trial).
 
Please check with all of your vendors before picking a new date to postpone to, in addition to offering multiple date options. Rescheduling a postponed wedding should be a collaboration between couples and vendors. If you are not postponing and are cancelling your booking, then the standard cancellation policy will remain the same. 
 
Rescheduling Special Occassion Hair and Makeup Bookings: If your new date you wish to postpone to is not available, you will receive a credit for the full amount you have paid, to redeem towards a single new booking (credit cannot be split between multiple bookings). If you are not postponing and are cancelling your booking, then the standard cancellation policy will remain the same.
 
By booking with Beauty by Sophie you give permission for your artist to work close to your face, social distancing between the artist and client is not possible when we are carrying out a service. Beauty by Sophie team is not able to perform services on those that have Covid-19 or be in the presence of those with Covid-19.

Question 15

Health and Hygiene

You are legally obliged to disclose to Beauty by Sophie if you are sick, ill or contagious in any way at the time your artist will be performing a service on you, or if at anytime you have come into contact or been exposed to anyone who is / was / may be / might have been sick, ill or contagious in any way.
 
Beauty by Sophie reserves the right to make any final decision on whether a client is unsafe to perform services on. If the client discloses they are unwell at a reasonable amount of time prior to the appointment, a credit will be offered. If the client has not made an effort to inform Beauty by Sophie with a minimum of 5 hours prior to the appointment start time, Beauty by Sophie is not obliged to offer any credit. The only acceptable form of contact for this is email, call or text. Social media messages are not accepted form of contact.

Question 16

General Terms and Conditions

Limitation of Liability: Except for any liability that cannot be excluded by law, Beauty by Sophie (including its officers, employees and agents) excludes all liability (including for negligence), for any personal injury; or any loss or damage (including loss of opportunity); whether direct, indirect, special or consequential, arising in any way out of our services or products, including, but not limited to, where arising out of the following: (a) any allergic or other reactions to products or products use; (b) any damage to property; (c) participation in a booking the promotion or use of a product.
Where Beauty by Sophie accepts any liability in its sole and absolute discretion, such liability shall be limited in all respects to the cost of the goods or services provided by Beauty by Sophie. No acceptance of liability will be enforceable under this clause unless received in writing directly from Sophie on behalf of Beauty by Sophie.

Indemnity: By accessing our website, booking our services or buying our products, you agree to indemnify and hold us harmless from all claims, actions, damages, costs and expenses including legal fees arising from or in connection with your use of our website, services and products.

Question 17

Force Majure

Accepted Answer

A Force Majeure Event can be defined as but is not limited to epidemics/pandemics, acts of god, and government restrictions. If a Force Majeure Event prevents Beauty by Sophie from providing their services on your event date, Beauty by Sophie shall, without limiting their other rights, provide a credit of any payments made (less services already performed) to be used on an alternative date within a 12 month period of initial event date. Standard terms and conditions apply once an alternative date is confirmed. New date is subject to availability.

Rights Reserved

Accepted Answer

I, Sophie Tabakas of Beauty by Sophie reserve the right to cancel any booking via email notification, if a booking is in breach of these terms and conditions.
 
By making a booking with Beauty by Sophie the client engages in “Service” and agrees to be bound by the Terms and Conditions. Once you have engaged with Beauty by Sophie it is assumed you have read and agreed to the terms and conditions.  
 
These terms and conditions are non-negotiable. Prices and terms are subject to change.
 
Beauty by Sophie reserves the right to terminate your booking for any non-compliance of terms without resolution of dispute. All pricing is in NZD and GST is not applicable. These terms apply to Beauty by Sophie and her team of artists.
